UPDATED: 2020 RECORD RETENTION CHART
Save It, Scan It or Destroy It – knowing what to do and when, is important for your dealership storage requirements. GNYADA continues to update this one-of-a-kind resource for members that compiles information about preservation of important documents by department. The Chart is organized by the following categories: DMV, Accounting, Consumer, Employment, Business and Environmental. A brand new COVID document retention section has been added this year. The following sections of the Record Retention Chart have been updated: • DMV removed the requirement that documents (police books/plate logs) maintained/generated in VERIFI be kept in paper format; • Employment Records includes new requirements for Collective Bargaining Agreements, Pension Plan documents, 401(k) Plan documents, New York State Sick Leave, NYC Fair Workweek Law, Westchester Earned Sick Leave Law, OSHA 300 and 300A logs, and Emergency Family Medical Leave; • The Consumer Records section was amended to include the NYC Contract Cancellation Option Report form; and

• Environmental Records section was updated to include NYC Department of Buildings requirements for Gas Pipe Inspection/Certification reports and Energy &Water Benchmarking reports. Some of the retention periods are set by law and others are best practices. The chart includes the minimum required time to keep each document. In some instances, you will likely need to consider saving records (such as repair orders) for longer than the time suggested on the chart.
